The Roe Institute Tuition, Cancellation & Refund Policy

Effective Date: February 17. 2025

At The Roe Institute, we value your trust and are committed to offering clear, fair, and
family-friendly policies. Please take a moment to review the following terms related to
registration, tuition, cancellations, and refunds.

Registration & Enrollment

● First-Come, First-Served: Seats are filled in the order registrations are received. There
is no formal deadline to register, but we recommend registering early as spots can fill
quickly.
● Registration Fee: A non-refundable registration fee is required to reserve your child’s
seat in all programs. This must be paid by credit card or check prior to enrollment.
● Course Materials: All required materials are included with your course registration.

Tuition & Payment Policies

We offer several types of programs, each with its own payment structure:

Test Prep Courses

● A non-refundable down payment is required to reserve your child’s seat.
● Tuition must be paid in full at least 10 days before the course begins.

College Application Assistance

● A non-refundable down payment is required to hold your child’s spot.
● Full tuition is due at the first session, unless your selected package states otherwise.

Math, Reading & Writing Support Packages

● These packages must be purchased in full at the time of enrollment to ensure
consistency and tailored instruction.

Mentorship Programs

  • A minimum one-month commitment is required for all mentorship programs to ensure

your child receives the full benefit of the experience.

Trial Class Option

● We offer a one-time trial class to help you and your child decide if The Roe Institute is
the right fit. No obligation—just a chance to explore!

Payment Methods

● We accept payments through our website 24/7 using Visa, MasterCard, and Discover.
● Payments can also be made over the phone at (914) 365-7792 after 4:00 PM.

Cancellation & Refund Policy

We understand that plans can change, and we’ve designed a flexible policy to accommodate life’s surprises:

Group Classes:
● 30+ days before course start: 100% tuition refund available minus non-refundable deposit.
● 29 - 15 days before the course starts: 50% of tuition will be refunded minus non-refundable deposit.
● Less than 15 days before the course starts: No refunds will be issued, regardless of attendance.

Individual Sessions:
Individual sessions are booked one at a time.
7 days before the session takes place: 100% tuition refund available.
1-6 days before the session takes place: 50% tuition refund available.
Once the session has occurred, no refund will be made available.

Package Sessions (College Consultation):
At The Roe Institute, we are committed to providing exceptional, personalized support. To help us manage scheduling and availability, we ask that you review and acknowledge the following cancellation and refund terms, which apply to all multi-session and long-term packages:
●A non-refundable deposit is required at booking to reserve your student’s spot and initiate planning. This deposit cannot be transferred or applied to a future package.

●If you choose to cancel before the first session takes place, any payments made beyond the deposit will be refunded in full.

●If you cancel after the first session but before the halfway point of your package (based on either time or number of sessions used), you may be eligible for a partial refund. The refunded amount will be calculated based on the unused portion of the package and services already delivered.

●No refunds will be issued once 50% or more of the package has been completed, or if four or more months have passed since the start of the program.

●All packages must be used within the timeframe outlined at the time of enrollment (e.g., 6-month, 10-month programs). Extensions are not guaranteed and must be requested in writing.

●If a client becomes inactive for 90 consecutive days without communication or scheduling sessions, the package may be considered forfeited, and no refund will be issued.

●Sessions must be scheduled at least one week in advance, and rescheduling must be requested with at least 24 hours' notice to avoid forfeiture of the session.

Makeup Sessions & Absences

● Makeup sessions are available for all courses and dates will be given to families.
● If your child misses a class, we’ll share any available classwork or homework to help
them stay on track.

Private Tutoring Sessions

● Cancellations must be made at least 24 hours in advance.
● Missed sessions or no-shows without notice will be charged at the regular hourly rate.

Virtual Tutoring Session Expectations

To provide high-quality, effective tutoring in a respectful and focused environment, The Roe Institute requires the following for all virtual sessions—both group and one-on-one:

● Camera Requirement: All students must have their cameras on for the full duration of each session unless a documented exception has been approved in advance. This helps promote focus, accountability, and meaningful interaction.
● Working Microphone: Students must have a functioning microphone to participate in discussions and receive feedback. Please test your audio in advance of each session.
● Student Gmail Account: All students are required to have their own Gmail account, which will be used to log into sessions, access resources, and interact with learning platforms.
● Required Materials: Students are expected to have all relevant books, worksheets, homework, and writing tools ready before each session begins. Being unprepared may impact the productivity of the session.
● Homework Preparedness: Students should arrive with any assigned work completed to ensure the session can be used for review, clarification, and skill-building.
● Appropriate Attire: While we do not require formal dress, students should be dressed appropriately and comfortably for a professional learning setting.
● Minimized Distractions: Students should join from a quiet, well-lit space, free from distractions such as television, loud conversations, or other devices. Headphones are encouraged to support focus.
● Timeliness & Attendance Policy for 1:1 Sessions:
* There is a 15-minute grace period for lateness. If a student arrives late, the session will continue, but time will not be extended. If the student does not arrive within 15 minutes and no prior notice has been given, the session will be considered a missed appointment and will be counted as used.
● Respectful Engagement: We ask that students participate actively, listen attentively, and communicate respectfully during all sessions.
● Parent Support (if needed): For younger students, we recommend a parent or caregiver be nearby to assist with logging in or addressing tech issues, especially in the early sessions.
Non-compliance with these expectations may result in a conversation with the parent or student and, if ongoing, could lead to a pause or termination of services

Additional Terms & Fair Use Policy

● If The Roe Institute determines that a student is not a good fit for our programs, we
reserve the right to withdraw the student. In such cases, any unused portion of tuition will
be prorated and refunded within 10 business days.
● If a tutor or teacher becomes unavailable, we will offer a qualified substitute and notify
families in advance when possible. No refunds will be issued due to tutor changes.
● If a class is canceled by The Roe Institute and a comparable alternative cannot be
offered, we will refund the remaining tuition balance within 10 business days.
● Liability is limited to the tuition paid for the course in question

Updates to This Policy

From time to time, we may update these terms. We will notify families of any major changes through our website or email. Continued use of our services confirms your acceptance of the latest version.
